Getting Started — Login & Session
4 proceduresEveryone starts here, regardless of role. This covers signing in, resetting a forgotten password, switching between branches, and changing your own password.
Log inLogin screen (unauthenticated)+
Authenticate and land on your role-appropriate home screen.
- Enter your username and password.
- Click Sign In.
- You're taken to your Dashboard with menu items matching your role's permissions.
Reset a forgotten passwordLogin screen → Forgot Password+
Regain access without an administrator, using a one-time code sent to your email.
- Click Forgot Password and enter your account email.
- Check your inbox for a 6-digit code — it's valid for 10 minutes.
- Enter the code, then set a new password (minimum 8 characters).
Switch branch / schoolHeader → branch selector+
Move between the branches or schools you've been granted access to, without logging out.
- Open the branch selector in the header.
- Choose the school/branch you want to work in.
- The page refreshes and every screen now shows that branch's data only.
Change your own passwordProfile → Change Password+
- Open Profile from the Dashboard.
- Enter your current password, then your new one (minimum 8 characters).
- Click Save.
Home / Dashboard
4 screensThe screen everyone lands on after login — an operational summary, your own profile, and report cards.
DashboardSidebar → Dashboard+
An at-a-glance view of your active branch: student counts, fee collection, outstanding dues, staff attendance.
- Open the Dashboard — it loads automatically after login.
- Use the branch selector in the header to change which branch's numbers you're viewing.
- Click any KPI card (e.g. "Outstanding dues") to jump straight to the underlying report.
ProfileSidebar → Dashboard → Profile+
- Open Profile to view your account details.
- Click Edit to update editable fields, or use Change Password for your login.
- Click Save.
Report CardSidebar → Dashboard → Report Card+
Quick access to your own linked report card view (for student-facing logins).
- Open Report Card.
- Select the test/term to view.
- Click Print or export to PDF.
Student Report CardSidebar → Dashboard → Student Report Card+
Look up and print the report card for any student you have access to (staff-facing).
- Search for the student by name or admission number.
- Select the academic year and test.
- Click Generate, then Print.
Student Administration
10 screensEverything to do with a student's record: from admission through to promotion, section changes, and inactivation.
Search StudentAdministration → Search Student+
- Open Search Student.
- Filter by academic year, branch, class, or section, or type a name / admission number.
- Click a result to open the full student record.
Create StudentAdministration → Create Student+
Admit a new student and generate their admission number.
- Open Create Student.
- Fill in the mandatory fields, then whatever else is on hand.
- Click Save — the admission number is generated automatically.
Update Student DetailsAdministration → Update Student Details+
- Search for and open the student.
- Click Edit, change the relevant fields.
- Click Update to save.
Change SectionAdministration → Change Section+
- Select the class and current section to load its student list.
- Select the students to move (one or many).
- Choose the target section and click Change Section.
Promote StudentsAdministration → Promote Students+
- Select the current class/section and academic year.
- Select students to promote and the target class for the new academic year.
- Click Promote to move them in bulk.
Demote StudentsAdministration → Demote Students+
- Select the class/section and the students to demote.
- Choose the class to move them back to.
- Click Demote to confirm in bulk.
Make Student InactiveAdministration → Make Student Inactive+
Used for students who leave — deactivates rather than deletes, keeping their history intact.
- Open the student's record.
- Click Make Inactive and confirm.
Import Student DataAdministration → Import Student Data+
Admit many students at once from a spreadsheet — for new-batch onboarding.
- Click Download Template to get the required column format.
- Fill it in and save as .xlsx.
- Click Upload and select the file.
- Review the validation results — fix and re-upload any flagged rows.
Student ConcessionAdministration → Student Concession+
Grant a fee discount to a specific student, drawing on the concessions configured in Concession Master.
- Search for the student.
- Select the concession type to apply and enter the amount or percentage.
- Click Save — it will be available next time fees are collected for this student.
Student Document ManagementAdministration → Document Management+
- Open the student's record → Documents.
- Click Upload, select the document type, and choose the file (up to 16 MB).
- Click Save — download or view it anytime from the same screen.
Fees
18 screensBilling setup, day-to-day collection, concessions, reversals, reporting, and branch petty cash — all in one place.
Fee DashboardFinancial → Fee Dashboard+
- Open the Fee Dashboard for a snapshot of today's collection, dues, and concessions granted for your branch.
Take Fee (collect payment)Financial → Take Fee+
- Search for the student — their outstanding fee types and installments load automatically.
- Tick what's being paid; click Apply Concession first if one applies.
- Enter the amount and payment mode (cheque details if applicable).
- Click Collect, then Print for the receipt — optionally send it by SMS.
Fee ReceiptFinancial → Fee Receipt+
- Search by receipt number or student.
- Open the receipt to view the full payment breakdown.
- Click Print to reprint, or Cancel/Delete to reverse (requires delete permission — moves to Deleted Receipts with a reason).
Fee TypeFinancial → Fee Type+
Master list of fee heads (tuition, transport, exam fee, etc.) used to build fee structures.
- Click Create, name the fee type, and Save.
- Fee types must be unique per branch, year and school.
Class Fee StructureFinancial → Class Fee Structure+
Attach fee types and amounts to a class — this is what auto-applies when a student is admitted.
- Select the class and academic year.
- Add each fee type with its amount.
- Click Save — every student in that class picks this up automatically.
Assign Special FeeFinancial → Special Fee+
Add a one-off fee to a single student, outside the standard class structure.
- Search for the student.
- Add the fee item and amount.
- Click Save — it appears at their next Take Fee visit.
Update Student Fee Structure / Rebate DateFinancial → Fee Structure / Rebate Updates+
- Open the student's fee record.
- Adjust the assigned structure or rebate date as needed.
- Click Update to save.
Fee InstallmentsFinancial → Fee Installments+
- Select the fee type and class.
- Define the installment schedule (how the total is split and due dates).
- Click Save.
Concession MasterFinancial → Concession Master+
- Click Create and define the concession (percentage or flat amount, which fee type it applies to).
- Click Save — it's now available in Student Concession and at collection time.
Fee ReportsFinancial → Fee Reports+
Today's, daily, monthly, class-wise, installment-wise, due and late-due collection reports.
- Choose the report type and set your filters (branch, date range, class).
- Click Export for Excel or PDF.
Deleted ReceiptsFinancial → Deleted Receipts+
- Open Deleted Receipts and filter by date range.
- Review the reason recorded for each reversal, and who performed it.
Fee Concession ReportFinancial → Concession Report+
- Filter by class and academic year.
- Export to review every concession granted, by student.
Adjust Fee ReportFinancial → Adjust Fee Report+
- Open the report to review any manual fee adjustments made outside standard collection.
Petty Cash — VouchersFinancial → Petty Cash → Vouchers+
- Click Create Voucher, choose Payment or Received, and enter the ledger head and amount.
- Click Save — the voucher status is set to Pending.
- Once approved, it rolls into the petty-cash reports and ledger balance automatically.
Petty Cash — Fund AllocationFinancial → Petty Cash → Fund Allocation+
- Click Create Allocation, enter the branch and amount being allocated, with justification.
- Click Save — it routes for approval before funds are available.
Petty Cash — Monthly Expenses / ReportFinancial → Petty Cash → Report+
- Filter by branch, ledger head, and month.
- Export for expense review and reconciliation.
Petty Cash — ApprovalFinancial → Petty Cash → Approval+
Where a Finance Manager or Admin reviews pending vouchers and allocations.
- Open the Approval queue — pending vouchers and allocations are listed.
- Open one to review the amount, ledger, and creator.
- Click Approve or Reject — rejections require the creator to revise and resubmit.
Academics
11 screensSet up subjects and tests once per year, then enter marks — grades and report cards are calculated for you.
Subject MasterAcademic → Subject Master+
- Click Create, enter the subject name and type (Academic or Deeniyath).
- Click Save.
Class Subject AssignmentAcademic → Class Subject Assignment+
- Select the class.
- Tick which subjects apply to it.
- Click Save.
Assign Student SubjectsAcademic → Assign Student Subjects+
- Select the class — its students load with the class's assigned subjects.
- Adjust for individual students if needed (e.g. elective choices).
- Click Save.
Test Type ManagerAcademic → Test Type Manager+
- Click Create, name the test type (e.g. Unit Test, Term Exam), and set its display order.
- Click Save.
Class Test AssignmentAcademic → Class Test Assignment+
- Select the class and test type, and create the specific test (name, max marks).
- Assign the relevant subjects to that test.
- Click Save.
Assign Subject Tests / Assign Student TestsAcademic → Assign Student Tests+
Link the class test to the actual students who'll sit it — required before marks can be entered.
- Select the class test.
- Select which students are assigned to it (defaults to the full class).
- Click Save.
Grade Scale ManagerAcademic → Grade Scale Manager+
Defines how marks convert to grades — required before any marks can be graded.
- Click Create and define each grade with its mark range (min–max) and label.
- Ranges must be continuous and non-overlapping.
- Click Save.
Marks EntryAcademic → Marks Entry+
- Select academic year, branch, class & section, test, and subject.
- Enter marks for each student in the loaded list.
- Click Save — grades are computed automatically from the grade scale.
Marks Entry — All SubjectsAcademic → Marks Entry All Subjects+
- Select the class, section and test.
- Enter marks across every subject for each student on one screen.
- Click Save.
Marks UploadAcademic → Marks Upload+
- Download the marks template for the selected test.
- Fill it in offline and save.
- Click Upload and review the validation results.
Report CardAcademic → Report Card / Dashboard → Student Report Card+
- Search for the student and select the test/term.
- Click Generate to preview the consolidated result.
- Click Print or export to PDF.
Attendance
2 screensStudent attendance — daily and exam-specific. (Staff attendance is captured automatically via biometric devices — see HR & Staff.)
Student AttendanceAcademic → Attendance → Student Attendance+
- Select the date and class/section — the student list loads with a present/absent toggle each.
- Mark each student, or use the bulk upload template for a large intake.
- Click Save to lock in the day's attendance.
Set Exam AttendanceAcademic → Attendance → Set Exam Attendance+
- Select the exam period and class.
- Mark attendance for the exam days.
- Click Save.
School Setup
4 screensThe foundation everything else is built on — done once when a school or branch is onboarded, and revisited each academic year.
Setup SchoolSetup Your School → Setup School+
- Enter the school's core details and its first branch.
- Set the active academic year.
- Click Save to make the tenant available for operations.
Classes ManagementSetup Your School → Classes Management+
- Click Create, name the class, and add its sections in the same step.
- Click Save.
Class SummarySetup Your School → Class Summary+
- Open Class Summary to review every class, its sections, and student counts at a glance.
ConfigurationSetup Your School → Configuration+
Week-off days and the holiday calendar — used by attendance and reporting to exclude non-working days.
- Set which days of the week are off by default.
- Add specific holiday dates for the academic year.
- Click Save.
Documents
2 screensDefine what kinds of documents you collect, then upload and store them against each student, securely.
Document AdministrationDocuments → Document Administration+
Admin screen — defines the list of document types available when uploading (e.g. Birth Certificate, Transfer Certificate).
- Click Create and name the document type.
- Click Save.
Document ManagementDocuments → Document Management+
- Open the student's record.
- Click Upload, choose the document type and file (up to 16 MB).
- Click Save — download it anytime from the same screen.
System
4 screensThe control room — who can log in, what they can do, and which schools and branches exist. Visible only to administrator roles.
User ManagementControl Panel → User Management+
- Click Add User, enter username, email, and temporary password.
- Assign a role and the school/branch they should have access to.
- Click Save — the new user is prompted to change their password on first login.
To remove access, prefer Deactivate over Delete — it blocks login while keeping their history intact for audit.
Role Permissions (RBAC)Control Panel → Role Permissions+
Create custom roles and control exactly which screens they can view, create, add to, or delete from.
- Click Create Role and name it (e.g. "Finance Manager").
- For each screen, toggle the four action flags it needs: view, create, add, delete.
- Click Save — users assigned this role see exactly those screens.
School ManagementControl Panel → School Management+
- Click Create School and enter name, code, logo, and theme color.
- Click Save — the school is now available as a tenant.
Franchise ManagementControl Panel → Franchise Management+
- Open Franchise Management to view or configure the schools grouped under a franchise brand.
HR & Staff
12 screensStaff records, the org structure behind them, biometric devices, and the attendance those devices generate automatically.
Staff MasterHR & Staff → Staff Master+
- Click Create and fill in personal and employment details.
- Click Save — staff code and employee ID are generated automatically.
Staff DirectoryHR & Staff → Staff Directory+
- Search or filter by department, designation, or status.
- Click a staff member to open their profile.
Staff ProfileHR & Staff → Staff Profile+
- Open a staff member's profile to view their full employment details and attendance history in one place.
Staff CategoriesHR & Staff → Staff Categories+
- Click Create and name the category (e.g. Teaching, Non-Teaching).
- Click Save.

- Click Create and name the employment status (e.g. Active, On Leave).

Links a staff member to their fingerprint/ID on the device, so punches are attributed correctly.
- Select the staff member.
- Enter their biometric ID from the device.
- Click Save.

- Filter by branch and month.
- Review present/late/overtime days per staff member — generated automatically from punches.
- Export for payroll input.
Punch LogHR & Staff → Punch Log+
The raw, unprocessed device punches — useful when a staff member's attendance looks wrong.
- Filter by staff member and date.
- Compare raw punch times against the Attendance Summary if something looks off.
SMS

- For Announcements, type your message; other types use their pre-set template.

Error Glossary — Quick Fixes

| Mandatory field missing | A required (starred) field was left blank — check every starred field on the form. |
| Duplicate admission no / staff code | These are auto-generated — leave the field blank and let the system assign it. |
| Unauthorized branch | You don't have access to this branch — ask an administrator to grant it. |
| Amount exceeds due | The entered payment is more than what's owed — recheck the outstanding balance shown. |
| No fee structure assigned | The class doesn't have a fee structure yet — ask Finance to configure Class Fee Structure. |
| Grade scale not configured | Set up a grade scale for the class before entering marks. |
